Here you can find answers we’ve compiled to questions we commonly receive about the Room Reservation Service. Questions are grouped by which product they apply to, so you should be able to find your answers quickly. If you don’t see your question here, please don’t hesitate to contact us!
General questions
Classroom reservations, as well as any classroom support related to those reservations, are managed in 25Live, which is supported by the Office of the University Registrar. Please contact the University Registrar’s Office for support with these requests.
Outlook calendars are handled by the Office365 group within Yale IT. Please reach out to the Office365 group for assistance.
Web Application questions
When using the EMS Web Application, you can only see spaces to which you’ve been granted access. Some spaces—on-campus Lactation Rooms, 25 Science Park room 125—are available to all users. If you need access to another space, contact the Room Reservation Service support team at rrs.help@yale.edu and let us know how we can help. Please be aware that we’ll need to get approval from the administrators in charge of any space you request.
Though most users with an active NetID are able to access the EMS Web Application, there are limited exceptions. Users who have graduated will no longer have access to the application, unless they matriculate into another program or school—these users may experience a limited period of being unable to access the application between enrollments. Additionally, student employees do not have permission to access the application, so these users may lose access to the Web Application during summer session.
Desktop Application questions
In order to access the application, a request must be made on your behalf to the Room Reservation Service support team (rrs.help@yale.edu) specifying the permissions you will need. Ideally, this request should come from an administrator within your office or department. Once this is granted, access to the EMS Desktop Application will be available via MyApps at Yale (myapps.yale.edu).
Our installation of EMS currently has a bug that only allows users to manage terms or sync with Banner while logged into the application server for EMS. We’re working to address this issue, but until it’s fixed we’ll need to manage these requests for you.
