Coming across a term in the help documentation and not sure what it means? Here we’ve provided a glossary of terms and their definitions to give you a leg up.

EMS Glossary

Notifications: Automatic alerts that are triggered whenever a booking or reservation is created or modified. Can be sent via email and via the EMS dashboard to a specified list of desktop users.

Confirmations: Email communications sent to an individual making or requesting a booking. Typically used to provide the user with confirmation that the request was received and/or approved, along with a summary of the booking details. Can be sent manually or automated.

Everyday User: The terminology in the EMS user interface for a user who only uses EMS via the Web Application (rrs.yale.edu).

Power User: Uses EMS via the Desktop Application. Typically have the ability to view/approve/modify/create bookings for a specific set of spaces.

Administrator: Users who have platform-level permissions for our version of the EMS platform, including the ability to manage facilities entries and create or modify user accounts.

Public View: A curated collection of rooms grouped under a common name in the EMS Desktop Application for easier browsing. Browsable by anyone with permission to view included rooms. Commonly used by Schools or Departments who administer multiple campus buildings.

Everyday User Process Template: Also known as a Booking Template. Used to manage users’ access to rooms in the Web Application. Users can then browse rooms in the Web Application organized by template. Access to templates can be granted automatically according to preset criteria (e.g. affiliation with a School, enrollment in a specific residential college) or manually upon request.

Reservation: Used to identify the name, purpose and location of an event. Each reservation can contain one or more bookings.

Booking: A specific occurrence of a reservation with a unique time and date.

Wizard: A tool in the Desktop Application for quickly creating one or more bookings.

Book: A tool in the Desktop Application used to manually browse existing bookings.

Navigator: A tool in the Desktop Application used to look up a booking or reservation based on its unique ID number.

User Template: Preset permissions for users in the Desktop Application, determining what actions they can perform. Most commonly used to determine for which rooms a user can view, create and modify bookings.
