Creating, Modifying, and Deleting Reservations (EMS Web Application)

The Room Reservation System (RRS) web application is a useful tool for managing reservations. Here, you can easily book rooms, modify and delete reservations for your events. Whether it’s a one-time booking or a recurring reservation, our system makes it simple. Just log in, pick your room, choose your date and time, and you’re all set! No hassle – just straightforward reservation management. 

Creating Reservations

To make a reservation on our Room Reservation System, start by logging in and selecting the “Book Now” button for your preferred template. If it’s a recurring booking, set up the recurrence options. Then, follow the steps provided:

  1. Choose your date, start and end times, and room. (You can adjust the time zone and location, but remember, only locations linked to your selected template are available.)
  2. Select your room, then provide all required information on the Reservation Details screen. 
  3. Review and agree to the terms and conditions before submitting. 

Upon successful submission, you’ll receive confirmation of your reservation. If the space requires approval, a space administrator will follow up accordingly. 

Modifying Reservations

Whether you need to adjust a single or recurring reservation, the process is simple. To make changes, log in and navigate to “My Events” from the navigation pane. 

  1. Select the reservation you want to modify.
  2. Click on the pencil icon next to the booking to make adjustments. (You can change the event name, date, start and end times, and even select a new room if needed.) 
  3. Click “Update Booking” to save them. You’ll receive a confirmation alert and—if the room change requires approval—a space administrator will follow up.

To add a booking to a reservation:

  1. Select the reservation from “My Events.”
  2. Select “New Booking.”
  3. Enter date, times, adjust settings if needed.
  4. Search and select a room.
  5. Confirm and update the reservation.

Deleting Reservations


To cancel a booking reservation, whether a single or recurring event, log in to the Room Reservation System and navigate to “My Events.” Then:

  1. Choose the reservation you wish to cancel. (To cancel a single booking of a recurring reservation, select the minus symbol next to the occurrence you want to remove.)
  2. Select “Cancel Reservation” from the Booking Tools list. 
  3. Provide a cancel reason and notes if desired. 
  4. Confirm by clicking “Yes, Cancel Reservation” in the pop-up.

Your reservation should be canceled and removed from your bookings list.
